First, what's the problem
?
With disks
getting larger and storage use habits relaxing,
it is not unusual for computer users to accumulate on
their computer thousands of files and documents of every
description. Add to this the thousands of files stored
offline or on corporate networks and it quickly becomes
impossible to find a file when it's needed. This
is not only frustrating, but it can lead to a significant loss
in productivity if important information cannot be found, or if
misplaced documents have to be recreated.
Solutions to
this
problem range from just better disk
organization and improved personal work habits to companies attempting to
implement fully-featured, Document Management Systems.
However, these are extreme approaches that don't always
work very well. Employees still appreciate the freedom to
manage their own personal domains, and many react
negatively when faced with strict database check-in check-out rules.
DocuQuest solution . .
.
Simplified Document
Management
DocuQuest acts like a database in
that it does provide features that let you get control over your
documents. You simply create DocuQuest entities called
libraries that organize and
collect together related files
- whether on your local computer, across your network,
or on removable storage devices. More importantly DocuQuest accomplishes
all of this without the need
to copy or move any of your files. In addition, DocuQuest
enforces any rules and permissions that have been
established for sharing files.
Full-Text Indexing is at
the heart of DocuQuest
DocuQuest creates
and manages full-text indexes
for all its libraries. Its indexing technology is
unique in the industry, extremely fast, scalable, and easy to
use. DocuQuest indexes can be created manually, or can be
configured to automatically
synchronize with changes, deletions or additions to a library's
document collection.
Powerful
search capabilities DocuQuest provides for
simple word or phrase
searches or for complex
searches using the logical operators (AND, OR, or NOT) and
the Proximity operator. DocuQuest supports upper or lower
case searches and also supports partial word searches which are
useful for eliminating the common morphological prefixes and suffixes
found with many words. To further assist searchers DocuQuest
provides a Refine search
mode which greatly eases the task of narrowing a search.
A host of viewing
options
The results of a DocuQuest search are first
presented as a File view ranking each file versus the other
selected files on the basis of the search hits
in the files, and showing optionally the file name, the path to the file,
and other file parameters. This view is customizable allowing
the
inclusion or deletion of certain fields from the view. An optional output
is a column showing the file's hits;
i.e., every sentence in the file that contains
the search criteria. Once found,
the documents can be viewed and worked with in a variety of ways:
- Seamless integration with a host
of Office Systems
For documents produced by Microsoft's Word, Excel
and PowerPoint, Corel's
Word Perfect, or PDF files processed
by Adobe's Reader or Acrobat systems,
DocuQuest
shares
the screen with the appropriate application and brings
up the program directly. It then opens the selected document
and positions to the search criteria. The DocuQuest toolbar buttons can then be
used to find other occurrences of the search criteria, switch to another of the
found documents, or enter a new search.
- A built-in Word Processor DocuQuest provides a
built-in Word Processor for many different kinds of
plain text files (TXT,
XML, HTML, ASCII, program code files, etc.) Plain text files
generally have no formatting, but the DocuQuest Word Processor supports plain text and
formatting similar to Microsoft's WordPad. Moreover, DocuQuest highlights all
search terms and provides toolbar controls to navigate the document.
- Launch in the application associated with the
document
For many document types the most appropriate
viewer is the application that was used to create the document. If
possible DocuQuest chooses one of the above viewers, but if necessary
it defaults to the application program set for the Windows extension type.
Extremely easy to
use
DocuQuest was designed to be easy to
use. Built-in Tips
and a comprehensive Help
system makes it easy to learn and apply. And,
its intuitive, task-based design makes it easier than ever
for you to find information on your
computer.
